Role : Operations Manager, On Site
Pinnacle Wealth is seeking an organized and detail-oriented Operations Manager to support the efficiency of our operations. This is a vital, hands-on role that ensures our office functions seamlessly by managing administrative processes, supporting staff, and coordinating client-facing events. While this is not a leadership position, the individual in this role plays a crucial part in guiding and supporting the entire team. This role requires strong technical, organizational, and communication skills to maintain operational effectiveness. Key Accountabilities
Operational & Administrative Support

Oversee office processes, ensuring seamless daily operations.

Manage business applications for process tracking and customer relationship management, including on-boarding, off-boarding, and managing orphan clients.

Ensure compliance with company policies and financial services industry regulations, including social media reviews and annual compliance processes such as AML requirements.

Analyze company workflows to identify risks and improve efficiency through process improvements.
Risk Management

Assess potential risks in company processes and develop mitigation strategies, including implementing stop-gaps and evaluating process flows or SLAs.

Monitor operational procedures to maintain compliance and minimize liabilities, including managing tech stacks and equipment.
Staff & Office Coordination

Support the team with administrative needs and office logistics, such as ordering supplies and setting up workspaces.

Facilitate internal communication and ensure smooth interdepartmental coordination, including managing general staff communications and organizing all-staff events.
Productivity Execution

Ensure operational efficiency by tracking projects and timelines, providing departmental project needs analysis and support as required.

Monitor and improve office productivity by streamlining processes, focusing on departmental collaboration and identifying inefficiencies in time management.

Train staff on best practices for office procedures and compliance standards, including HR training, ongoing development, Thursday training calls, and phone system protocols.
Technical Proficiency & Process Improvement

Maintain data accuracy and document management systems, overseeing all processes related to on-boarding, off-boarding, training, professional development, and implementing new SaaS products.

Oversee reporting to support business decisions, including project management oversight.
Communication & Marketing Support

Assist in developing internal and external communication materials.

Support marketing initiatives, including social media management and content distribution.

Draft and review reports, presentations, and official correspondence.
Event Management

Plan, organize, and coordinate client-facing events, including webinars, seminars, and networking events.

Handle event logistics, such as venue selection, scheduling, and attendee coordination.

Ensure events align with company objectives and enhance client engagement.

Collaborate with internal and external teams for successful execution, including event budget coordination, marketing collaboration, and compliance reviews.
What You Bring

Technical Proficiency
Comfortable using business software and project management tools.
